We are currently seeking a Project Assistant to support our growing Facility Compliance and Engineering Business Unit located in Hunt Valley, Maryland. The ideal candidate will be self-motivated, a strong communicator with a talent for organization and attention to detail.

Responsibilities

  • Under direction of Project Managers, prepare purchase requisitions, requests for quotation (RFQs), and other documents required to engage subcontractors for project execution
  • Assist with project set-up and close-out, including preparation of notices to proceed and other documents and management of electronic and hard-copy filing and archiving systems
  • Track proposal calendars/deadlines, assist in the scheduling and coordination of document reviews
  • Communicate with multiple project managers to effectively plan own work and ensure that scheduled deadlines and established budgets are met
  • Use standard word processing tools and processes to adhere to EA Style Guide, and client-specific style guides
  • Strong intrapersonal skills for effective coordination with internal and external clients and groups
  • Coordinate and schedule meetings and conference calls
  • Assist with travel arrangements
  • Use MS Office applications to convert files from a variety of applications and formats to meet applicable standards
  • Organization of personnel credentials and training records
  • Develop word processing documents and spreadsheets to develop reports, letters, memos, meeting minutes, cost tables, and data entry/summaries.
  • Create graphics/basic technical figures for inclusion into reports, proposals and presentations (Adobe, Excel, PowerPoint, Project)
  • Create and revise documents productively and effectively; proofread processed material for accuracy and completeness as well as QC report assembly
  • Outstanding organizational and logistical skills
  • Ability to be flexible with handling last minute requests and compressed production schedules

Qualifications

  • Associates degree; Bachelor’s Degree preferred
  • 4 plus years of experience performing administration for environmental, engineering or consulting firms
  • Proficient with MS Office Suite; especially Word, Outlook, PowerPoint and Project
  • Experience using Adobe Acrobat to edit and make PDFs
  • Must have strong communication and organizational skills
  • Exceptional attention to detail required
  • Excellent verbal and written communication skills
  • Experience gathering and analyzing data
